Board prep and meeting workflow infrastructure

An automated project management workflow for a high volume of meetings requiring extensive preparatory materials.

The Problem

Meeting prep depends on many moving pieces: meeting dates, discussion guides, publish schedules, and timing of grant payments and reports. Without a shared workflow, staff were pulling their hair out trying to manage deadlines and expectations.

What I Built

A staged Monday workflow with automated support for repeatable steps: discussion guide folder creation, template population, reminder generation, and publish-date calculation. Manual gates control when a meeting is actually ready and whether changed dates have invalidated existing materials.

What Made It Hard

Meeting readiness is judgment-based. Automation can create folders and calculate dates, but it cannot decide whether a conversation is ready, whether dates are final, or whether a packet is safe to use.
