Case Study

Fluxx to Monday operational layer

A controlled mirror layer that surfaces critical grant tasks in user-friendly Monday views.

The Problem

Fluxx holds the authoritative grants data, but it lacks project management functionality. The team needed accessible views for reports, agreements, payments, and pipeline tracking without losing data discipline.

What I Built

A controlled operational layer in Monday. Records in certain states sync from Fluxx into custom Monday boards, and designated fields write back. Staff receive notifications and access dynamic views to support planning and reduce anxiety around key grants-management functions.

Object Rules

ObjectSystem of recordOperational mirrorNotes
Grants / proposals Fluxx Monday, SharePoint, Power BI Fluxx is authoritative
Reports Fluxx Monday Team visibility; limited write-back of state and due date
Agreements Fluxx Monday State column only
Payments Fluxx Monday, SharePoint High-control area; Power BI depends on SharePoint list integrity
Board prep planning Monday Outlook, dashboards Operational only — not source-of-truth grants data
Meeting scheduling Monday Outlook, staging folders, board packets High manual oversight
Receipts Monday QuickBooks (manual) Intake automated; reconciliation is manual
Cash flow visuals Fluxx SharePoint → Power BI Verify upstream list health before trusting visuals

What I Learned

Shadow systems can be useful as a way to overcome hardcoded tool limitations. A correct implementation requires a clear purpose, strong guardrails, and extremely careful error handling and two-way sync.
